Skillgine AI Ethical Use Policy

1. Our commitment to responsible AI

Skillgine is committed to helping individuals and organizations use Microsoft Copilot and other artificial intelligence tools safely, ethically, securely, and responsibly.

We believe AI should:

• Support people rather than replace human judgement.
• Improve productivity without reducing accountability.
• Respect privacy, confidentiality, and intellectual property.
• Promote fairness, accessibility, transparency, and inclusion.
• Be used in ways that are lawful, professional, and appropriate.
• Produce work that is reviewed and approved by a responsible person.

This policy explains the standards that apply to Skillgine trainees, clients, instructors, contractors, partners, and other participants using AI during or after Skillgine training.

Microsoft identifies fairness, reliability and safety, privacy and security, transparency, accountability, and inclusiveness as core responsible AI principles.

2. Scope of this policy

This policy applies to:

• Skillgine Microsoft Copilot courses and workshops.
• Skillgine AI readiness assessments and consulting services.
• Masterclasses, bootcamps, webinars, mastermind sessions, and user groups.
• Training materials, demonstrations, sample prompts, templates, and exercises.
• Custom Copilot workflows, agents, integrations, and implementation services.
• Skillgine employees, instructors, contractors, trainers, partners, and trainees.
• AI-related content made available through the Skillgine website.

This policy should be read together with Skillgine’s Privacy Policy, Terms and Conditions, Refund and Cancellation Policy, and any programme-specific training agreement.

3. AI supports human judgement

Microsoft Copilot and other generative AI tools can assist with drafting, summarizing, organizing, researching, analysing, brainstorming, and improving business productivity.

However, AI can produce content that is:

• Incorrect or misleading.
• Incomplete or out of date.
• Biased or unfair.
• Inappropriate for the intended audience.
• Similar to existing protected content.
• Unsupported by reliable evidence.
• Unsuitable for a specific organization, industry, or jurisdiction.

AI should assist human decision-making, not replace it. Microsoft guidance states that Copilot is intended to augment and support users, rather than make decisions independently. Microsoft also advises users to double-check AI-generated information before making decisions or taking action.

Trainees and clients remain responsible for reviewing, correcting, approving, and using AI-generated content.

4. Responsible use requirements

Anyone participating in Skillgine training or using Skillgine AI services is expected to follow these requirements.

4.1 Review and verify AI output

AI-generated content must be reviewed by a responsible person before it is:

• Sent to a client, employee, supplier, or member of the public.
• Published on a website or social media platform.
• Included in a report, contract, proposal, policy, or presentation.
• Used to support a business or professional decision.
• Entered into an official system or record.
• Relied upon for financial, legal, technical, health, safety, or regulatory purposes.

Users should verify important names, dates, calculations, claims, quotations, sources, references, instructions, and conclusions.

Microsoft states that generative AI responses are not guaranteed to be completely factual and that users should review outputs before sending them to others.

4.2 Protect private and confidential information

Users must not enter confidential, private, sensitive, restricted, proprietary, or regulated information into an AI tool unless:

1. They are authorized to access and use the information.
2. Their organization permits the information to be processed through that tool.
3. Appropriate privacy, security, and contractual safeguards are in place.
4. The use complies with applicable law and organizational policy.

Restricted information may include:

• Passwords, security keys, and access credentials.
• Banking and payment information.
• Social insurance numbers and government identifiers.
• Medical and health information.
• Private employee and customer records.
• Legal files and privileged communications.
• Trade secrets and confidential business plans.
• Unpublished financial information.
• Confidential contracts and intellectual property.
• Personally identifiable information.

When using Microsoft 365 Copilot with an organizational account, users should understand that Copilot respects existing Microsoft 365 permissions and presents information that the individual user is authorized to access. Access to information does not automatically provide permission to copy, distribute, publish, or use it for a different purpose.

4.3 Use approved accounts and systems

Business information should only be used with AI tools approved by the user’s organization.

Users should not move workplace information from an approved organizational environment into a personal AI account or an unapproved third-party application.

Microsoft states that prompts, responses, and Microsoft Graph data used through Microsoft 365 Copilot are not used to train its foundation models. This protection applies to the Microsoft 365 organizational environment described in Microsoft’s documentation and should not be assumed to apply equally to every consumer or third-party AI service.

Users are responsible for reviewing the terms, privacy statements, data-handling practices, and permissions of third-party AI tools, agents, plugins, connectors, and integrations.

5. Fairness, inclusion, and non-discrimination

AI must not be used to discriminate against, unfairly profile, or disadvantage an individual or group.

Users must not rely on AI to infer a person’s:

• Race or ethnicity.
• Religion or beliefs.
• Age.
• Disability or medical condition.
• Sex, gender identity, or sexual orientation.
• Political views.
• Family or marital status.
• Emotional condition or mental state.
• Personality, honesty, loyalty, or future behaviour.

AI-generated recommendations involving people must be reviewed for unfair assumptions, missing context, stereotyping, and discriminatory effects.

AI should not be the sole basis for employment, promotion, discipline, dismissal, lending, insurance, housing, education, healthcare, or other decisions that could significantly affect a person.

6. Transparency and disclosure

Users should disclose AI assistance when required by:

• An employer or client policy.
• A professional or regulatory standard.
• A contract or procurement requirement.
• An educational institution.
• Applicable legislation.
• The expectations of the intended audience.

Disclosure may be appropriate when AI has materially contributed to:

• A report or recommendation.
• A public article or research document.
• A policy or procedure.
• A marketing image or video.
• A client deliverable.
• A legal or regulatory draft.
• An academic or certification submission.

Users must not falsely claim that AI-generated content was created entirely through independent human research or professional analysis when that claim could mislead the recipient.

7. Copyright and intellectual property

Users must respect copyright, trademarks, confidential information, personality rights, and other intellectual property rights.

Users must not knowingly use AI to:

• Copy protected material without authorization.
• Reproduce paid or restricted content.
• imitate or misuse another organization’s branding.
• Create misleading endorsements or testimonials.
• Remove ownership notices or attribution.
• Present another person’s work as their own.
• Upload materials they do not have permission to process.

AI-generated content may resemble existing content. Microsoft notes that similar prompts may produce similar responses and that Microsoft does not determine whether a customer’s output is copyright protected or enforceable against others.

Users are responsible for conducting appropriate originality, permission, trademark, and copyright checks before publishing or commercially using AI-generated content.

8. Prohibited uses

Skillgine does not permit its training, materials, prompts, templates, or services to be knowingly used for:

• Illegal activity.
• Fraud, deception, impersonation, or identity theft.
• Fake testimonials, reviews, records, credentials, or signatures.
• Harassment, intimidation, discrimination, or hate.
• Malicious misinformation or deliberate manipulation.
• Unauthorized surveillance or profiling.
• Privacy violations or unauthorized disclosure.
• Bypassing security controls or access permissions.
• Cyberattacks, credential theft, or malicious software.
• Academic, professional, or certification dishonesty.
• Unauthorized automated decision-making about individuals.
• Content that creates an unreasonable risk of physical, emotional, financial, or reputational harm.
• Any activity prohibited by Microsoft’s terms, the applicable AI provider’s terms, or applicable law.

Skillgine may refuse, suspend, or end training or services where it reasonably believes its programmes or materials are being used for prohibited purposes.

9. High-risk and regulated decisions

AI-generated content must not be treated as professional advice.

Qualified human review is required for matters involving:

• Legal rights, contracts, claims, or disputes.
• Financial planning, investments, lending, or taxation.
• Medical conditions, diagnosis, or treatment.
• Employment, dismissal, discipline, or employee performance.
• Workplace investigations.
• Cybersecurity incidents.
• Public safety or emergency response.
• Immigration or government benefits.
• Insurance eligibility or coverage.
• Regulatory compliance.
• Decisions that may significantly affect an individual’s rights or opportunities.

Skillgine training does not replace advice from a lawyer, accountant, financial adviser, medical professional, cybersecurity specialist, human resources professional, or other qualified expert.

10. Healthy and balanced AI use

Skillgine encourages trainees to use AI as a productivity assistant and thinking partner.

Healthy AI use includes:

• Applying independent judgement.
• Learning the task rather than only copying the answer.
• Editing content into the user’s authentic voice.
• Checking trusted sources.
• Challenging overly confident or generic responses.
• Limiting unnecessary AI dependence.
• Taking appropriate breaks during extended AI-assisted work.
• Seeking human support for sensitive or high-impact decisions.

AI should not replace meaningful professional relationships, personal responsibility, human empathy, or qualified support.

11. Skillgine training practices

Skillgine aims to promote responsible AI training by:

• Explaining AI limitations during training.
• Encouraging human review of generated content.
• Using sample, public, or anonymized information where practical.
• Avoiding requests for unnecessary confidential information.
• Teaching privacy, security, accuracy, and responsible prompting.
• Distinguishing educational information from professional advice.
• Encouraging participants to follow their own organizational policies.
• Updating training content as AI products and responsible-use practices evolve.

12. Trainee and client responsibility

Each trainee, client, and organization is responsible for:

• Determining whether an AI tool is appropriate for its intended use.
• Configuring access, permissions, retention, and security controls.
• Establishing internal AI policies and approval processes.
• Training employees on privacy, security, and acceptable use.
• Monitoring AI use where necessary and lawful.
• Confirming compliance with applicable laws and regulations.
• Reviewing and approving all final work.
• Responding appropriately to errors, inappropriate output, or suspected data exposure.

13. Reporting concerns

Trainees and clients should stop using an AI-generated output if it appears inaccurate, harmful, discriminatory, confidential, or inappropriate.

Concerns related to Skillgine training or materials may be reported through Skillgine’s published contact channel. Reports should include enough information to identify the course, material, or incident without unnecessarily including confidential or sensitive information.

Where the concern relates to Microsoft Copilot output, Microsoft provides in-product feedback options for reporting inaccurate, harmful, or inappropriate responses.

14. Training limitation and disclaimer

Skillgine provides training, demonstrations, templates, sample prompts, workflow examples, and general educational information.

Skillgine does not guarantee that:

• AI-generated content will always be accurate or complete.
• A particular prompt will produce the same result every time.
• AI output will satisfy every legal or organizational requirement.
• Training will prevent every error, data incident, claim, or dispute.
• AI tools or features will remain unchanged or continuously available.
• An AI-generated result will be suitable for a particular commercial or professional purpose.

To the extent permitted by applicable law, users remain responsible for decisions, actions, communications, and materials created or supported using AI.

Nothing in this policy limits legal rights or responsibilities that cannot be limited under applicable law.

15. Policy acknowledgement

By registering for or participating in Skillgine AI or Microsoft Copilot training, participants acknowledge that they have been provided access to this policy and agree to use AI tools ethically, safely, lawfully, and responsibly.

16. Changes to this policy

Skillgine may update this policy to reflect changes in AI technology, training practices, legal requirements, security risks, or industry guidance.

The effective date and last-updated date at the top of this page will identify the current published version.
